Tradies Bio® connects to Google Calendar to help you run your business more easily. You run the show. Tradies Bio® is just the helper — it brings customer enquiries and upcoming work into one practical jobs workflow. You can disconnect at any moment, no questions asked.
What Tradies Bio® does with your calendar — and why
Everything Tradies Bio® does is built around three goals for every tradie: Win more work, more often. Run your business more efficiently and stay organised. Build the long-term value of everything you've worked for. Google Calendar is one of the tools that makes all three possible — but only if you choose to connect it. The connection is entirely optional. Every feature of Tradies Bio® works without it.
When you do connect, here is what Tradies Bio® does for you:
- Captures customer enquiries automatically Win — when a customer sends an enquiry or booking request through your Bio page, Tradies Bio® records it in your Enquiries dashboard and, while connected, creates a calendar event in the Google Calendar you selected for jobs. No double-handling, no missed jobs.
- Shows your upcoming jobs in one place Run — the My Jobs view pulls your calendar into your Tradies Bio® dashboard so you can see your week at a glance without switching apps.
- Finds your available gaps (Tradie Scout) Build — Scout reads your start and end times (nothing else) to identify when you are free. Responding to enquiries confidently — knowing exactly when you're available — is how you build a business that runs on reputation and repeat work.
Tradies Bio® acts on your calendar on your behalf. It does not use calendar data for advertising or model training. Scout does not send calendar event content to an AI model. Availability is calculated in memory and shown in Scout's local, deterministic copy. The full detail is in our Privacy Policy.
What access we request — and why
When you connect your Google Calendar, Tradies Bio® requests these two permissions:

Calendar picker only: During initial setup, this reads your calendar names once so you can choose the calendar you use for work. After you choose, Tradies Bio® never reads your calendar names again and does not access your other calendars.

Jobs workflow: Uses only the Google Calendar you selected to read upcoming events and create Tradies Bio® enquiry and booking events.
How we use it:
- Read — My Jobs view — fetches your upcoming events (title, location, description, start/end time) to display your next 10 days of jobs inside your private dashboard.
- Read — Tradie Scout — reads start and end times only (no titles, descriptions, or other content) to identify when you are free. This happens when you ask Scout to analyse availability.
- Write — Bio enquiries and booking requests — creates a Tradies Bio® calendar event when a customer submits an enquiry or booking request through your Bio page. We never modify or delete events you have created yourself.
What we read from your calendar
My Jobs view
When you open My Jobs, Tradies Bio® fetches your upcoming calendar events and displays them in a clean list. The fields read are: event title, location, description, start date/time, and end date/time. This data is fetched live and shown only to you — it is never stored in our database.
Tradie Scout (AI diary analysis)
Tradie Scout is a tool inside Co-Pilot that checks your calendar for open gaps — times you may be available for new work — and surfaces relevant job opportunities and quotes for you to act on. Scout runs only when you ask it to analyse availability; it does not run silently in the background.
Scout requests only start and end times from your calendar via a strict field
selector (fields="items(start,end)"). Event titles, descriptions, locations,
attendee names, and all other event content are not requested and never received
by Scout. The calculation is performed in memory and is used only for Scout's local,
deterministic availability copy. Calendar event content, dates, and derived availability
values are not sent to OpenAI or any other AI service, and no derived data is stored in our
database.
Connected calendar
During setup, you choose the Google Calendar Tradies Bio® will use for this workflow — for example, Work instead of Personal. We store only its unique identifier so we know where to read and write on future visits. The calendar name is not stored. Tradies Bio® does not read events from your other calendars.
What we never read
Tradies Bio® does not access and does not store:
- Attendee names, email addresses, or phone numbers from your calendar events
- Organiser details or RSVP status
- Conference or video call links (Zoom, Google Meet, Teams)
- Recurrence rules or repeat-event logic
- Private or declined events
- Any Google service outside this selected-calendar workflow, such as Gmail, Drive, or Contacts
- Your contacts, Gmail, Google Drive, or any other Google service
What we write to your calendar
Tradies Bio® creates a calendar event when a customer books through your Bio page, or when you use the CRM to log a job. The event we create contains:
- A title summarising the job type and customer name
- The job location
- A description with: job type, customer contact details, job value, urgency, the customer's message, any notes you have added, and the Tradies Bio® enquiry reference number
- Start and end date/time (set by you or the customer at booking)
Tradies Bio® never deletes or modifies events you have created yourself. We may update a Tradies Bio® event when you update the same enquiry in the CRM. If you disconnect your Google Calendar, we stop creating or updating Tradies Bio® events — existing events in your calendar are untouched.
How we store your credentials
When you authorise access, Google provides Tradies Bio® with OAuth tokens — secure keys that allow us to make calendar calls on your behalf. These tokens are:
- Stored server-side in Tradies Bio®'s encrypted database, linked to your account
- Never stored in your browser, cookies, or any client-side location
- Never shared with any third party, including OpenAI
- Deleted immediately and permanently when you disconnect
Google API Services User Data Policy — Limited Use
✅ AI & Machine Learning — Explicit Statement
Tradies Bio® does not use data obtained through Google Workspace APIs to develop, improve, or train generalised artificial intelligence (AI) or machine learning (ML) models. Google Calendar data accessed via the Google Calendar API is used solely to provide the in-product features described on this page — and for no other purpose.
Tradies Bio®'s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- Google Calendar data is used solely to provide the calendar features described on this page. It is not used for any secondary purpose.
- Google Calendar data is not used for advertising, marketing, or to serve ads of any kind. Tradies Bio® runs no advertising platform.
- Calendar event content, dates, derived availability values, OAuth tokens, and calendar IDs are not passed to OpenAI or any other AI service. Scout keeps availability calculations local and uses them only for deterministic in-product copy.
- Google Calendar data is not transferred to third parties except as required to operate the calendar features described on this page.
- Tradies Bio® does not use data obtained through Google Workspace APIs to develop, improve, or train generalised AI and/or ML models.

Human access to your Google Calendar data is prohibited except under these four conditions only:
- You have given explicit consent for a support technician to view data to troubleshoot a problem you reported.
- It is necessary for security purposes, such as investigating abuse or a security incident.
- It is required to comply with applicable law.
- The data is aggregated and fully anonymised and is used solely for internal operational purposes (such as monitoring API error rates) — in which case no individual's data can be identified.
Data retention and deletion of Google user data
- Event content (titles, descriptions, times): Tradies Bio® does not store Google Calendar event content in our database. All event data is fetched live from the Google Calendar API on demand and displayed only to you. No event content is retained after your session ends.
- OAuth tokens and Calendar ID: Your Google OAuth access token, refresh token, and selected Calendar ID are retained only for as long as your Google Calendar remains connected to your Tradies Bio® account. They are permanently deleted from our servers the moment you disconnect (via the in-app Disconnect button or via your Google Account permissions page).
- Account deletion: If you delete your Tradies Bio® account, all associated Google OAuth tokens and Calendar IDs are permanently erased from our servers immediately at the time of account deletion. No Google user data is retained after account deletion. To request complete account and data deletion, email info@tradiesbio.au — requests are processed within 30 days.
- Derived data: Tradie Scout uses start and end times from your calendar to calculate a count of available diary gaps. This calculation is performed in memory and is used only for local, deterministic Scout copy. No calendar-derived value is sent to an AI service or stored in our database.
Disconnect instantly — no questions asked
Disconnect from within Tradies Bio®:
Open My Jobs from your dashboard, tap Calendar settings, then tap Disconnect Google Calendar.
Disconnecting immediately deletes all stored OAuth tokens, your saved calendar ID, and stops all calendar reads and writes. It is permanent until you choose to reconnect.
You can also revoke access directly from Google's side at any time — without logging into Tradies Bio® at all — by visiting your Google Account permissions page, finding Tradies Bio®, and selecting Remove Access. Tradies Bio® will detect the revocation on the next calendar request and prompt you to reconnect or continue without calendar integration.
Frequently Asked Questions
Does Tradies Bio® read my personal calendar events?
My Jobs reads event titles, locations, descriptions, and times only from the Google Calendar you selected for jobs so upcoming work appears in the dashboard. Scout reads only start and end times, never titles or descriptions, when you ask it to analyse availability.
Can Tradies Bio® delete or change my existing events?
No. Tradies Bio® only creates new events (when a customer books or you log a job). Your existing events — personal appointments, jobs you created yourself, recurring events — are never modified or deleted by Tradies Bio®.
Does my calendar data go to the AI (Co-Pilot or Scout)?
Scout uses your calendar only to identify available time gaps — and it requests only start/end times, not event content. The calculation happens within Tradies Bio®. Availability is calculated locally and shown in Scout's deterministic copy; no calendar data or calendar-derived value is sent to OpenAI.
Co-Pilot and Scout do not receive your Google Calendar events, tokens, calendar IDs, or calendar-derived availability values. Scout keeps its availability copy local.
What happens to my data if I disconnect?
Disconnection is immediate and complete. Tradies Bio® deletes your OAuth access token, refresh token, and stored calendar ID from our database the moment you tap Disconnect. We cannot make any further calendar calls after that point. Events already in your Google Calendar (created by Tradies Bio® or by you) remain in your calendar — we do not and cannot delete them from Google's side after disconnection.
Can I connect multiple Google Calendars?
You can choose one Google Calendar for your Tradies Bio® jobs workflow during setup — for example, Work instead of Personal. Tradies Bio® reads and writes only that selected calendar; it does not combine events from multiple calendars.
What if I use Outlook or Apple Calendar?
Tradies Bio® is deliberately focusing on Google Calendar because it helps tradies capture work, avoid double handling, and see their next jobs in one place. Outlook and Apple Calendar are separate integrations for accounts that have connected them; they are not part of this Google Calendar workflow and are not covered by Google's OAuth verification for Tradies Bio®. Every Tradies Bio® feature works without a calendar connected.
Is my Google account password shared with Tradies Bio®?
No. The connection uses Google's OAuth 2.0 system — you log in directly on Google's own screen, and Google sends Tradies Bio® a limited-access token. Your Google password is never seen, stored, or transmitted by Tradies Bio®.
How do I know what access Tradies Bio® currently has?
You can check and revoke access at any time from your Google Account permissions page. Tradies Bio® will appear there while connected. Removing it from Google's side has the same effect as disconnecting from within Tradies Bio®.
